Day-Of Coordination

We’re excited you’re considering Day-Of Coordination for your wedding!

We wanted to put together a brief overview of how Coordination with Crescent Moon works. There are numerous different ideas of coordination (and planning, which is a whole other animal), so we just want to lay everything out clearly so you know what you - and we! - are signing up for!

So, Day-Of Coordination is essentially as it sounds - we are there to essentially “herd cats” on the “Day-Of” your wedding.

We will have a two-hour meeting about 6-8 weeks out and solidify:

Timeline for the day
Vendor arrival times + contact information
Ceremony procession order/seating
Who is doing what tasks (i.e. is the DJ playing ceremony music or providing the mic for the officiant?)
Answer specific Crescent Moon questions and give best-practices, if needed
Help with a layout, if desired

On the day of, we:

Are able to run a rehearsal, if needed (most couples have already done this beforehand)
Meet vendors as they arrive at the venue so you can chilllllll
Problem solve, usually with the help of your chosen Decision Maker of the day, if there are any vendor or miscellaneous issues
Assist with any venue questions or needs (i.e. how to work ACs, connect to Sonos, etc.)
Can set up a few personal items - i.e. Set up guest book/memory table/etc. - though this is not a decor service (that’s a different package that you can also book!)
Make sure you have vows, rings, marriage license, etc.
Get everyone lined up for the ceremony and tell them when to walk, if needed
Hop in for odd jobs that pop up, if necessary (i.e. The person cutting the remainder of the cake went to the bathroom during cake cutting time – I got you!)
Help you stay on time during your reception to make the most of your vendors’ booked time
Assist with the Grand Exit (i.e. hand out sparklers, etc.)


How we differ from a wedding planner:

We don’t arrange anything for you ahead of time
You are still responsible for your vision, budget, booking vendors, being the vendor point-of-contact until the day-of, chasing down insurance info., etc.
We don’t decorate (I mean, we will, but that’s a different add-on – we do offer a discount if you book both)
We don’t create your timeline from scratch
We can help you tweak, if needed, but by the time we meet, you’ve probably arranged an arrival time for many of your vendors onsite
We aren’t comfortable running ceremony music. Too much pressure!

Essentially, we take your plan with your vendors and help it run smoothly… Day-Of!

Also, to clarify, in addition to our Day-Of Coordinator, we have a separate Team Member onsite that is helping with the venue. Team Member focus is the venue; Coordinator focus is you!
